    PA / Office Manager (Manchester, UK)


    Aon is currently recruiting a PA / Office Manager to join our team in Manchester. The PA / Office Manager will be primarily responsible for providing proactive PA support to the Partners / Principal Consultants and ensuring the smooth day to day running of the office administration. There is also potential to line manage more junior secretarial colleagues.


    Your impact as a PA / Office Manager




    Provide PA support to typically 3-5 Partners / Principal Consultants including:

    Act as point of contact/liaison with clients, third parties, peers and the consultants’ direct reports, Developing and maintaining a sound knowledge of key contacts

    Proactively manage email where agreed

    Proactively manage diary

    Prepare consultants for meetings where possible

    Plan and organise travel arrangements, including any visa applications, itineraries and route maps

    submit and manage expenses and Amex logs

    Organise internal and external meetings including all catering, equipment and logistical requirements

    Produce documents as requested, in line with Aon Brand and draft emails/communications

    Ensure billing is completed within agreed deadlines for the Partners’ / Principal Consultants’ clients

    Manage compliance tasks, keep up to date with internal news and actively maintain data held in internal systems

    Submit and approve annual leave for teams


    Office Management


    Assume responsibility for ensuring local processes and procedures are in place and being followed for:


    Health & Safety and accident reporting

    Fire drills, fire marshals & evacuation process

    First Aiders

    Liaison with third party facilities management including smooth running of meeting rooms and reception

    Data Security

    Physical Security eg reporting broken locks, card readers, assisting with annual audits

    Onboarding new hires

    Managing contractor access

    Planning and coordinating office moves

    Maintaining office plans

    Electronic filing and archiving

    Suppliers and procurement

    Issues with share IT equipment such as printers

    Local car parking arrangements

    Attend and record tenants' meetings with the Managing Agent/Landlord

    Maintain email distribution groups

    Maintain content of notice boards in common areas


    You bring knowledge and expertise


    Strong client service skills

    Excellent planning, organisational skills and prioritises work

    Strong communication skills - both written and verbal

    Ability to multi task and respond to changing priorities

    Fully proficient with standard technology - Microsoft Office

    PA experience at a senior level, ideally within the financial services industry within a medium to large professional services firm
