Team Secretary – 12 Month FTC (Farnborough, UK)
Aon is currently recruiting a Team Secretary to join our team in Farnborough on a FTC. The Team Secretary will be primarily responsible for providing team secretarial support to the teams. In order to enable colleagues in the team to focus on revenue generation, client and colleague management and winning new business.
As a member of the team your responsibilities are likely to involve:
Produce documents as requested, in line with Aon Brand, including typing, formatting, proof reading, of meeting packs in preparation prior to sending to print.
Carryout billing for the team’s clients as requested and within deadlines
Set up internal and external meetings including ordering of catering, equipment and logistical requirements, cancelling an rooms which are no longer required
Book any travel, hotels and restaurants, using CWT where Aon’s processes require it
Prepare expense claims and Amex logs accurately and within the firm’s guidelines
Use PulesPoint for electronic filling, adhering to the scanning processes, assisting client teams and supporting colleagues where needed
Use the Iron Mountain Connect system to retrieve and return client paper files as and when requested by team members
Manage incoming phone calls, passing detailed messages on effectively and efficiently
Manage compliance tasks where requested, including CPD completion, annual declarations, gift and entertainment registers, setting up new clients, initial AML checks and annual KYC checks
Keep up to date with internal news, system and tool roll out and updates, project updates and developments, ensuring action is taken where appropriate personally and by the team members
Actively maintain date held in internal systems including Aon Connect, Client Portfolio Site and PeopleFinder where requested
Request holidays in the PTO system on behalf of others when asked and acting as a holiday co-ordinator for the team where appropriate.
Any ad hoc duties, requests and initiatives to ensure those supported can work efficiently
Provide support to the PA’s, undertaking delegated activities as requested in order to meet the needs of the Partners and Principals clients
Responsible for working in accordance with the Aon UK Limited Risk Management Framework, and compliance with the Aon UK Limited policies, including participation in the management of risks (including completion of mandatory training) that may adversely affect the business, interests or reputation of any Group Company.
Your skills and qualifications will ideally include:
GCSE’s or equivalent
Previous, secretarial/administrative experience, ideally but not essential in a corporate environment
Working knowledge of Microsoft Office Suite (e.g. Word, Excel, PowerPoint)
Written and verbal communication skills
Good attention to detail and ability to proof-read documents
Demonstrable ability to multi-task and be able to work effectively under pressure
Is able to maintain confidentiality as required`
