    Team Secretary, McLagan. Fixed Term Contract

    We are currently looking for a Team Secretary to join our McLagan business in London on a 6 month Fixed Term Contract. To work closely with the Partners and provide administrative support, including extensive diary management, travel arrangements and document production using PowerPoint.

    About the Role

     

    The Team Secretary is responsible for the following:

     

    Support 2 Performance Partners and wider teams

    Calendar management - arranging meetings, including room and catering requirements

    Submit and manage expenses and Amex logs accurately and within the firm’s guidelines

    Perform and manage billing tasks including setting up new client codes

    Organise travel and accommodation and prepare tickets and route maps where appropriates

    General office duties, incl. photocopying, scanning, binding and electronic filing

    Order Business Cards, ad hoc stationery and supplies using COUPA (procurement system)

    Keep up to date with internal news, project updates and developments, ensuring action is taken where appropriate, and Partners / Principal Consultants are alerted to any action required by them.

    Work as an effective team member by contributing towards sickness and holiday cover for

    wider PA team

     

    Responsible for working in accordance with the Aon UK Limited Risk Management Framework, and compliance with the Aon UK Limited policies, including participation in the management of risks (including completion of mandatory training) that may adversely affect the business, interests or reputation of any Group Company.

     

    About you

     

    Previous, PA/Secretarial experience, ideally gained within a corporate environment

    Typing is accurate at 60 wpm

    Good use of language

    Produce documents using corporate style guide and language

    Proficient knowledge of Microsoft Office Suite (e.g. Outlook, Word, Excel, PowerPoint)

    Strong written and verbal communication skills

    Good attention to detail

    Ability to developing effective relationships internally and externally in all levels.

    Ability to work as an individual and within a team with minimal direction

    Strong organisational skills, ability to  overcome obstacles and seeing tasks through to conclusion

    Ability to effectively proof-read documents

    Demonstrable ability to multi-task / maintain presence under pressure

    Highly organised with strong abilities to prioritise work under pressure

    Exhibits professionalism and diplomacy at all times

    Is able to maintain confidentiality as required
