Personal Assistant (12 month FTC)

 

We’re hiring!

 

Aon Hewitt's International Retirement & Investment practice are currently recruiting a Personal Assistant / Team Secretary to join our team in London for a 12 month Fixed Term Contract. The Personal Assistant will be primarily responsible for:

 

-providing high level secretarial support within the iR&I team with core duties focused (but not limited) to assisting:

 

1 x Partner

1 x Principal

2 x Senior Consultants

About the Role

 

As a Personal Assistant some of your key responsibilities will involve:

 

 

  • Diary Management
  • Arranging External & Internal meetings
  • Invoicing clients via Elite Enterprise finance system and all billing related tasks
  • intercompany invoicing of Global Aon entities
  • Creating, managing Coupa requests including; setting up new suppliers and coordinating Purchase Order Numbers
  • Event organising
  • Logging Expenses
  • Booking International and domestic travel for allocated consultants
  • Supporting consultants with technology queries and assisting with laptop/Smart Phone related issues
  • Providing annual leave cover for iR&I team secretary
  • Logging timesheet details into Carpe Diem on behalf of Partner
  • Coordinating client set-up on finance and legal systems
  • Admin duties including; scanning, photocopying, printing, binding, arranging couriers and security passes
  • Being responsible for working in accordance with the Aon UK Limited Risk Management Framework, and compliance with the Aon UK Limited policies, including participation in the management of risks (including completion of mandatory training) that may adversely affect the business, interests or reputation of any Group Company.

 

About you

 

As a Personal Assistant your skills and qualifications will ideally include:

 

  • Track record of being Personal Assistant and dealing with senior business contacts, preferably in a global context;
  • Strong administrative experience;
  • Advanced skills in Excel, Word, Powerpoint;
  • Experience of working with business managers to resolve queries;
  • Effective communication skills, written and verbal;
  • Problem solving skills;
  • Organised with the ability to prioritise;
  • Ability to work well as part of a team;
  • Self-starter with a proactive approach to resolving issues and improving processes.
