    Aon are currently recruiting a Team Administrator to join our team in London. The Team Administrator will be primarily responsible for providing an efficient, professional Administrative Assistant service to the UKI Regional Controller, Deputy Finance Director and EMEA Programme Director.

    About the Role

     

    Your impact as a Team Administrator:

    • Arrange internal and external meetings/workshops
    • Prepare travel itineraries and make business travel arrangements
    • Manage third parties and  purchase order requests
    • Understand and forward plan major commitments, particularly where significant preparation time is required e.g. offsite meetings, conferences, board meetings etc.
    • Organise diaries and prioritise emails where necessary
    • Arrange business and social functions involving viewing/booking venues, agendas. Coordinate and attend events where appropriate.
    • Prepare and submit expense reports for the team
    • Raise and approve IT service requests, including the IT requests related to onboarding new employees and collecting the IT kit of leavers.
    • Understand the day-to-day working/needs of the business and the responsibilities in order to prioritise issues effectively.
    • Support finance ad-hoc projects as necessary
    • Monthly regulatory learning reporting and setup of any meetings related to the finance training program
    • SharePoint/Yammer administrator to include granting access, uploading documentation, housekeeping etc.
    • Maintain any desk tracking and attendance in respect of agile working initiatives and be the primary point of contact for Aon facilities for lockers and similar issues.
    • Archiving and file retrieval through Iron Mountain.
    • Responsibility for working in accordance with the Aon UK Limited Risk Management Framework, and compliance with the Aon UK Limited policies, including participation in the management of risks (including completion of mandatory training) that may adversely affect the business, interests or reputation of any Group Company.

    About you

     

    Your knowledge and expertise:

     

    • Administrative experience supporting senior management
    • Proven track record of delivering process improvements
    • Able to communicate effectively throughout a matrix organisation
    • Exceptional written communications
    • Experienced in all Microsoft Office packages
