Aon Hewitt is currently recruiting a Team Secretary to join our team in Birmingham on a Maternity Cover for 12 months.  The Team Secretary will be primarily responsible for providing administrative support to colleagues in a group or practice area.  Support ranges from clerical and logistical matters to document production and the effective use of office applications. 

  

About the Role

 

As a Team Secretary some of your key responsibilities will involve;

 

  • Support Team with their day to day activities
  • Calendar management - arranging meetings, including room and catering requirements
  • Perform and manage billing tasks
  • Pass telephone calls on effectively and efficiently, taking detailed messages and full telephone details, where appropriate
  • Management of incoming post
  • Preparing meeting/training packs, including PowerPoint presentations and document formatting
  • Work as an effective team member by contributing towards sickness and holiday cover
  • Ordering stationery and keeping supplies in order
  • Organise travel and accommodation and prepare tickets and route maps where appropriate
  • Maintain databases and records
  • Assist Team on ad hoc projects
  • Complete expense logs accurately and within the guidelines of the firm
  • General office duties, incl. photocopying, faxing & filing
  • Plan and organise work effectively
  • Prioritise work and seek assistance if necessary
  • Seek to gain knowledge of your section's expertise by reading, discussions with your colleagues and through your involvement with training
  • Responsible for working in accordance with the Aon UK Limited Risk Management Framework, and compliance with the Aon UK Limited policies, including participation in the management of risks (including completion of mandatory training) that may adversely affect the business, interests or reputation of any Group Company.

 

About you

 

As a Team Secretary your skills and qualifications will ideally include;

 

  • GCSE’s or equivalent
  • Previous, secretarial experience, ideally in a corporate environment
  • Typing is accurate at 60 wpm
  • Produce documents using corporate style guide and language
  • Working knowledge of Microsoft Office Suite (e.g. Word, Excel, PowerPoint)
  • Has a good knowledge of hardware (e.g. franking machine, switchboard, copier, fax etc.)
  • Strong written and verbal communication skills
  • Good attention to detail
  • Strong organisational skills
  • Ability to effectively proof-read documents
  • Demonstrable ability to multi-task / maintain presence under pressure
  • Exhibits professionalism and diplomacy at all times
  • Is able to maintain confidentiality as required
  • Good customer service skills
